Questions

Payroll Services FAQs

11 answers to the questions clients ask us most. Don't see yours? Ask us directly.

Ask a question

What payroll returns does an employer file?

Generally a quarterly Form 941 for withholding and FICA, an annual Form 940 for federal unemployment, plus state withholding and unemployment returns.

Can you handle employees in several states?

Yes. We register you in each state and handle the separate withholding and unemployment accounts.

Should a contractor be on payroll?

It depends on how the work is controlled. Misclassification brings back taxes and penalties, and we can review your workers.

How often must payroll taxes be deposited?

Federal deposits are made monthly or semi-weekly depending on the size of your past payroll tax liabilities. Very large payrolls may have next-day deposit rules.

What is the trust fund recovery penalty?

Taxes withheld from employees' pay are held in trust for the government. If they are not paid, the IRS can hold responsible owners and officers personally liable.

Are there state rules on how often I pay employees?

Yes. Many states set minimum pay frequencies and rules for final paychecks. We set your schedule to comply.

Can you handle benefits deductions?

Yes, including pre-tax retirement contributions and health insurance, so wages and taxes are calculated correctly.

Do you offer direct deposit?

Yes. Employees can be paid by direct deposit and access pay stubs and W-2s online.

Which accounting software do you support?

QuickBooks Online and Xero most often, along with common payroll, bill pay and e-commerce tools.

Can we start partway through the year?

Yes. We bring the books up to date from the start of the year, then continue monthly.

How do we communicate with you?

By email, our client portal and scheduled calls. You have a named contact who knows your business.
